Preparing Section 508-compliant proposal documents using MS Word

We recently supported several proposal efforts that required submitting Section 508-compliant documents. (Section 508 of the Rehabilitation Act of 1973 requires that U.S. Government information and data should be accessible to people with disabilities.) Here are 10 quick tips for creating Section 508-compliant documents using MS Word. Use MS Word styles to define headings and normal text. Use built-in MS Word formats to create columns, bullets, lists, tables, headers, footers, and footnotes. Provide tags for all images using the alt text feature to describe each image using words. Provide a description of a chart or graphic immediately after that chart or graphic. Provide text descriptions or equivalents for any graphics or flowcharts. If color is used to convey information, the text must also convey that information. Use colors that people who are color blind can distinguish; most color-blind people have trouble distinguishing green and red or blue and yellow. Confessions of a proposal production expert – graphic design (Part 2 of 5)

In this post, Briana Coleman, PPM.APMP shares her top 4 tips for developing graphics for a proposal. Tip 1: Develop graphics as the exact size you need For example, if the final graphic must be 3”x4” to fit on the page, have your graphic artist render the graphic at that size. Do not render the graphic at 6”x8” and then size it down when you insert it into your document. When you re-size the graphic in your document, everything gets smaller—including the font. If your graphic designer used a compliant font size in the initial rendering, and you size the graphic down to fit on your page, you are now non-compliant. 6 Rules for proposal graphics

Review and incorporate the following guidelines and suggestions into your graphics development process. Start with a complete detailed graphic (hand-sketched or computer-generated) and then begin to remove as much detail as you can without destroying the real message. This reduces the graphic to its simplest form. The extra detail can be placed in an appendix to the proposal, if appropriate. Don’t try to generate finished artwork at the first pass. You might have several ideas for graphics that support the thesis sentence, but will eventually select the most appropriate one, or combination, as you develop the text. Be creative. The time to experiment is before the graphic artist renders the graphic in electronic format. Focus on the what, how, and why of the graphic to avoid producing meaningless graphics.
